Help & getting started

Everything you need to run your gallery and share it with clients.

Folio Suite gives you one place to manage clients, plan shoots, and deliver private, branded galleries. This guide covers signing in, the tools in Studio, sharing with clients, and the most common questions.

Signing in

You have one sign-in for everything. Go to the sign-in page and enter the email your account was created with, plus your password. You'll be taken straight into Studio — no second login, no subdomain to remember.

If you haven't set a password yet, use the link in your welcome email. The link is single-use and expires, so if it's no longer valid just ask for a fresh one (see below).

Studio at a glance

Once you're signed in, the top bar groups everything into a few menus:

  • Dashboard — a quick overview of your account.
  • Galleries — upload photos and videos, organise them, publish a share link, and bundle several into a Collection when a shoot spans multiple albums.
  • Moodboards — a freeform canvas for planning a shoot before you deliver it.
  • Studio Manager — Pipeline, Sessions and Calendar: where each lead is at and your bookings, at a glance.
  • People — Clients and Models: everyone you work with, from the person paying for the shoot to the talent in front of the camera.
  • Quotes, Invoices & Contracts — the paperwork side of the job, in the same place as everything else.
  • Reports — a summary view of your business.
  • Plan & billing — see your current plan, storage usage, and upgrade if you need more room.

Uploading photos & videos

Open a gallery and use the upload area to add your photos and videos — drag and drop, or click to choose files. Each file uploads and shows its own progress, so you can see exactly how far along a large batch is. Standard JPEG/PNG/GIF/WEBP images, RAW files from major camera brands, and common video formats are all supported.

A gallery stays a private draft until you publish it. Clients never see anything until you're ready to share.

Sharing a gallery

Publish a gallery to get its share link. Add a password from the gallery's own page if you want an extra layer — anyone with the link (and password, if set) can view it, without needing an account of their own. Clients tap the heart on any photo to mark it as a favourite, and you can see everyone's picks from the gallery's overview.

If a shoot spans more than one gallery, use Collections to bundle them behind a single link.

Moodboards

Moodboards are a freeform canvas for the planning side of a shoot — pull in reference images, notes, links, to-do items and tables, or sketch directly on the board. Share a board the same way as a gallery: publish it to get a link, and anyone you send it to can add to the board too, no account required on their end.

Your logo

Add your logo from Settings. It appears on your invoices, and — on plans that include custom branding — on your client-facing galleries too, in place of the default Folio Suite mark.

Plans, billing & storage

Every account starts on the Free plan. See your current storage usage and upgrade any time from Plan & billing. Storage is measured across everything you've uploaded — as you get close to your plan's limit, you'll see a clear warning in your galleries. If you reach it, uploading pauses (nothing already uploaded is ever removed) until you free up space or upgrade.

If you've been given a voucher code, redeem it from the signup page or from Plan & billing — a valid code grants that plan directly, no payment needed.

Staying signed in & security

  • For your security, you're automatically signed out after a period of inactivity. Just sign in again to continue.
  • Keep your password private — you're responsible for activity on your account.
  • Your galleries are excluded from search engines, and right-click/hotlinking are blocked for visitors by default.

For your clients

You may want to pass this on to clients:

  • Opening a gallery: click the link you were sent and enter the password if asked.
  • Marking favourites: tap the heart on any photo you love — your photographer sees the list.
  • Downloading: if your photographer has enabled downloads, you'll see a download option on your photos.
  • Trouble getting in? Contact your photographer directly — they manage your access.

Common questions

My welcome-email link doesn't work anymore.

Those links are single-use and time-limited. Email us and we'll send a fresh set-password link.

Do my clients need an account?

No. A published gallery or moodboard link works without any account on the client's end.

Are my originals safe?

Your uploads are stored to run your gallery and are never claimed by us. That said, please always keep your own master backups of important originals — see our Terms.

Can I remove Folio Suite's branding?

Yes, on plans that include it — see Pricing for which plans do.
